Annual General Meeting 2022: Amendment to the Agenda

The agenda is being amended so that Paula, Principal of the Guild can make a presentation regarding the Guild requirement that the Walking Group website must folded into the Guild website.  The Group website wgwg.info would have to cease to operate in its current flexible format. The Committee regards this as a very serious threat to the way the Walking Group operates. After Paula's members will have the opportunity to discuss the position.  All options will be up for consideration.

Minutes of Presentation by the Prinicipal to the AGM re WGWG website by Maire Casey

Minutes of meeting with Paula Riordan re WGWG.info website

guildlifelonglearning.org is the primary form of marketing, information management, booking, publicity and data handling for the Guild and those who operate under it’s ‘umbrella’.

Guild is a charity, a registered company managed by trustees who are volunteers.

Need to ensure compliance with current data protection legislation.

Concerned that all data is kept safe, about reputation and the fact that they could not afford a fine if it were imposed for any breach.

Therefore, it has been agreed that all club webpages must be on the Guild website and will be monitored by volunteers to ensure that all content is compliant.

Question

WGWG.info website is interactive e.g. last minute change of plan for a walk

How would this work?

Answer

Could use Guild for lifelong learning email addresses issued to all members

Questions

WGWG.info is a Google website. Can it be incorporated into Guild site (also Google)?

Could people outside the Guild see it?

Answer

Site is ‘closed’ for academic purposes. Could only have one only accessible by members of the club (walking group)

Question

Can details of walks be updated on an open site?

Answer

Can’t have sensitive info on an open site

Question

It appears that Guild societies only have one page each?

Answer

The website has much greater functionality than most people are using.

Question

If WGWG.info website were to be embedded into Guild website what would be different?

Answer

Simon would continue to edit the webpage which would then be proofread by the office to ensure compliance. (Simon noted that this was normal procedure)

Walks could be found on hyperlink

Can could provide some technical assistance but is a charity.

Question

What about a last-minute change to a walk e.g. adverse weather conditions – would someone from the guild need to check the message?

Answer

Suggest use of Whats App or similar for that info.

Question

What is the timescale for the change to take place?

Answer

A timescale can be agreed.

Question

We have a Google website and Guild website supports this.

How would walking website be reached? Presumably someone would need to log in to the Guild site first?

Question

What happens if we don’t comply?

Answer

Would forfeit membership of the Guild including insurance etc.

Extra Info

Members have 2 email addresses – personal & Guild

Person running website has access to both – can redirect Guild email to personal address.

If part of Guild website would have access to Google equivalent of ‘Office’, Google slides etc through Guild Account

A good ‘page’ on the Guild website should bring in more new members – at present Website gets 1000 hits a week.

Elly uses NH webpage on Guild site and finds it rather ‘wooden’ e.g. found it difficult to change the way group names could be ordered.

Although most people would appear to be happy about the change if access and functionality remained the same it was agreed that the committee should meet (plus Simon) to discuss proposal.

WILMSLOW GUILD WALKING GROUP

ANNUAL GENERAL MEETING 2022

WILMSLOW GUILD BOURNE STREET WEDNESDAY 16 NOVEMBER 2022

ANNUAL REPORT

Welcome to this AGM and thank you for coming. We have already noted the sad death of Diana Baker, who will be much missed. We hope those who came enjoyed the Memorial walk earlier this week.

Since the last AGM things have been relatively quiet compared with the previous 2 years. Some of us have caught COVID but fortunately it seems to becoming a bit more like flu, with the exception of anyone who then develops long COVID.

The website has continued to be used very actively and I think many of us enjoy the pictures of walks in the Gallery. Thanks to Simon for continuing to manage this.

A full walking programme has been run, with a walk each week and every other Sunday. Informal meeting and greeting has developed, particularly using the park and ride at Hazel Grove.

As of last month there were 26 members registered with the Guild. We know there are some people who can walk only irregularly and prefer to pay the £2. The Group has attracted only a few new active members recently, a problem shared with groups involved with other activities where I am involved. The question of finding new members continues to elude the Committee. As a result the numbers on some walks has been quite low. While I am quite happy to walk with a small group I know others find it quite disappointing.

What has been encouraging is that a large proportion of members have led walks. I think this is an excellent outcome. There is nothing like researching and recceing a walk to get to know an area of the countryside. Remembering the route is good for keeping our brains active.

Peter Riley organised our Christmas walk and lunch at the plough and Flail which was very successful.

The Committee comprise 5 members and I think we have been largely successful in avoiding too many Committee meetings. A walking Committee meeting seems to work well.

I would like to thank the Committee for keeping everything simple, the leaders for volunteering so enthusiastically and the members who turn out in all weathers to keep the Group going.

Bob Swinburne produced the accounts for the walking group which currently stand at £84.

Bob explained to the members that most walkers opt to pay the annual subscription to the Guild rather than pay £2 per walk direct to the group.

The money raised goes towards the drinks at the AGM and the mince pie walk.

Walking Programme

Sunday walks will be monitored due to lower numbers on recent walks. This is possibly due to weather/underfoot conditions also members on holiday.

Peter Attwell piloted shorter walks (6 miles) and they have been well attended with positive feedback.

View Ranger

Simon Duffy organised an Introduction to View Ranger for members. The session proved to be highly informative, it is hoped Simon will organise a further session shortly.

Holiday

2019 Sedbergh 10 members all enjoyed a week’s walking in the area

2020 Lake Garda 15 members have already booked

For various reasons it has been suggested that instead of alternating going abroad with the UK, then to go abroad each year. This was put to the vote for holiday walkers only, the result being, 6 members for, 3 members against.

The outcome will be discussed in detail with all holiday walkers and at the next committee meeting.

Safeguarding

Beverly Harrison and Carol Mclaughlin represented the walking group at an organised safeguarding session by the Guild relating to the safeguarding of all members on any Guild course.

Annual Report : (Beverly Harrison):

Welcome to the 21th. Annual General Meeting of the Wilmslow Guild Walking Group.

Our current membership is 35. Peter, our website manager (amongst other roles), has been vigilant in keeping any weather induced changes to the programme up to date. Donald, our programme organiser would like to thank the programme production team, Bob, for producing the hard copy and Carol and Angela for organising the printing and distribution. Peter Riley led the new members walk, this year 14 people accompanied him There were 24 walkers and 3 guests on our Christmas walk and meal, led by Donald.. 18 walkers were introduced to the banks of the River Dene on the mince pie and mulled wine walk round Wilmslow led by Peter. Joyce’s pre 90th birthday celebration occurred last Thursday with 23 on the walk and 22 at the meal at the Miner’s Arms, all brilliantly organised by Lynn and Carol. Simon organised an informative session on the viewfinder app. for all those interested. I believe there is interest in another session for those who were unable to make the date.

I’d like to thank Adrian for getting us around Yoke Ridge in splendid weather conditions and every walk leader who has contributed to such a varied and enjoyable program. 10 members went on our 2019 holiday in Sedbergh and next year will see us in Lake Garda. So far 13 people have booked. Tonight’s refreshments are provided by Angela and Carol and the beverages by Peter.

Election of Committee Positions 2019/2020 :

Changing the constitution last year has caused some anomalies I was on my 3rd year as a committee member. in line the new constitution I would ask the members to nominate me for a further 3 years and to consider whether they would like me to remain as chair. Peter and Carol were co-opted onto the committee and can now stand for their first 3 year period. Angela and Donald were on their 4th. Year on the committee but I propose to extend this for another 2 years to cover the 6 year period that is now allowable . Bob has another 2 years before re-election
